Depending on the team of virtual assistants you will be choosing, you will have members who will each work 8 hours per day. Each member can be contacted directly and their tasks are tracked in our project management system.
Our easy 7 step Welcome Process below:
Step 1 – Needs Assessment Orientation Call
Immediately after we receive your request for our service, we will schedule a call with you to discuss your needs, preferences, and starting date with which the VA team should start their job. We want to make sure that you are getting the right Virtual Assistance for your business. As such, we highly encourage you to be specific in telling us what tasks you wish for the VA team assigned to you to accomplish.
Step 2 – Review and Execute Our Service Agreement
After our initial assessment call, if we both feel that we are a good fit, we will send you the Service Agreement. You have the opportunity to review the agreement and discuss with us any changes you would like made.
Step 3 – Payment
A deposit equal to the amount of one months service fee is required prior to us setting up your account and assigning a team to you. Please note that you are not charged during this process. Your billable start date is the day your team is in place and begins working for you. The advance payment of the second month’s service fee becomes due 30 days from the start date. If you are not completely satisfied with the service after the first month, you can terminate the service and receive a full refund of your deposit.
Step 4 – VA Assignment
After assessing your needs, we will be assigning a VA team that is suitable for you. All Virtual Assistants have gone through rigorous training and evaluation to ensure that they will be serving your needs fully and up to par with your expectations. You do have the right to reject and replace any member of your team who you deem are not a good fit for you. If you would like to interview your team members prior to assigning them to your team, you may do so.
Step 5 – Setting Up
The VA Team assigned to you will be given a local SMS-enabled phone number allowing them to communicate with you which only cost a local call to you. You are also strongly advised to install Skype and other cloud-based file sharing applications such as DropBox and Google Drive. We take pride in the stability of our network, ensuring that our connection works 24/7.
Step 6 – Training & Integration
After the setup of important connections and applications, we can then start a conference call between you and our management team. This allows both sides to get to know each other. Through this conference call, we can develop a training program that will help the VA assigned to you do the work your way. Let us know how we can specifically help train your VA. Furthermore, we can inform them about the tasks you have identified.
Step 7 – Kick-off & Monitoring
After your team of Virtual Assistants are identified, set up with all the tools and access they need, and our company training manager has provided client specific training– your Virtual Assistant is productive and ready to make a difference in your business. Our operations manager monitors the progress of your Virtual Assistant and makes changes or performs coaching in specific areas of improvement.
